Article information is used to register parcels and shipments in an efficient way. When you register a parcel or shipment, the article information is retrieved from the article directory.

  • You can import or manually add articles with appropriate key information such as weight, volume, customs information, dangerous goods details.

  • You can only use article information with printing favorites. It's not available for standard printing.

  • You can include article information in an e-mail pre-notification.

  • For using articles through APIConnect, please refer to the REST API documentation. For OnlineConnect, please refer to the XML file specification.

Create the article directory

  1. Go to Maintenance > Articles.

  2. Click Import to import article information from a tab-delimited file. Please refer to the example files.

    Click New article to manually add article information.

Use article information

To register a parcel based on articles, you must use a new or existing printing favorite.

  1. Go to Maintenance > Printing favorites.

  2. Click New printing favorite, or Search followed by UO_Edit_icon.gif to the left of an existing printing favorite.

  3. For a new printing favorite, enter details as instructed for printing favorites.

  4. Check the Use article level checkbox.

  5. To make further settings on an article, go to the Shipment and parcels section. Click Change and proceed to the Articles section.

    • You can set an article filter. Only those items that are included in the filter will be shown and can be selected when the shipment is registered.

    • You can define a default number of articles, higher than one (1). When the shipment is created the value is set in the Article quantity field.

Register a shipment with articles

When a shipment contains articles, it's important to register information in the right order.

The parcel information is automatically calculated based on the article information from the directory. If the parcel information needs to be adjusted, the parcel information that differs from the article information must be entered when all articles have been added.

Important

When the articles are added, the information is not aggregated in the article row, i.e. if two articles with a weight of 1 kg each are registered, 1 kg is shown in the article list. The weight for the parcel equals the total of all articles, i.e. 2 kg.

Important

When the article directory is used, dangerous goods information must be entered for each article, not on parcel level.

  1. Go to Shipments > Printing favorites.

  2. Choose a printing favorite where Use article level is activated.

  3. Select articles and add them by clicking Add article row.

  4. Register the parcel information that cannot be calculated or retrieved from the articles included in the parcel, for example, weight exceeding the articles’ total weight or contents.

  5. Add the parcel to the shipment.

  6. Register subsequent parcels.

  7. When all parcels are registered, click Specify customs information to enter customs information for the shipment.

    Important

    When the article directory is used, some customs information must be entered for each article on row level.

Add a new article when a shipment is registered

  1. Click New article in the Parcels section.

  2. If the new article should be added to the article directory, click Save to article directory. If it should only be added to the specific shipment, click Finish.

Edit article information when a shipment is registered

  1. Click Modify article in the Parcels section.

  2. If the article information should be updated in the article directory, click Update article directory. If it should only be edited for the specific shipment, click Finish.

Article information in e-mail pre-notifications

You can include article information in e-mail pre-notifications. The information you share with your receivers is article number, article name and number of articles.

  1. Go to Maintenance > Articles.

  2. Click New article, or Search followed by UO_Edit_icon.gif to the left of an existing article.

  3. Check the Include in pre-notification box in the Basic information section.
